Short answer: you do not have to relearn everything. You have to plug in. One connection that updates the way you work — not a two-day course you forget within the week.
I keep coming back to a simple analogy: your phone.
Your phone does not ask you to relearn it
When your phone asks to update its system, what happens?
You do not have to learn how to send a message again. You do not have to learn how to make a call again. You do not have to attend a three-day course. You press one button, wait a few minutes, and your phone is faster — with capabilities you did not have yesterday.
The system changed. You did not have to start from zero.
That is how I think about AI in business.
Why courses and seminars are not the answer
I am not against learning. I speak on a lot of stages, and I believe in education.
But I want to be honest about one thing: knowledge you hear does not change your system. It changes how you feel — for three days.
You come home from the seminar motivated. You take notes. You tell your team “we are going to do things differently”. Then Monday arrives, a customer complains, two staff do not show up, and by Thursday your life is exactly as it was before you left.
The reason is simple: what changed was your knowledge. What did not change was your process.
Training gives you an idea. A connection changes the work.
What “plug in” means in practice
Connecting means placing one layer that already understands how your business works, then letting the work run through it — without you having to sit in front of it every time.
That layer is not connected all at once. It is connected in stages, and the order matters:
- Marketing — research, writing, content for each platform, advertising
- Sales — prospect follow-up, proposal preparation, scheduling
- Operations — orders, inventory, daily reporting
- Human resources — hiring, basic training, reviews
- Finance — collections, cost tracking, reporting
Start with marketing, not because it is the most important, but because it pays back fastest — and over a short runway, speed of payback is everything.
What version is your system on?
I like asking owners this question: if your business were a phone, what version is your system on?
If the way you find customers looks the same as it did in 2008, your system is on version 2008. The world is many versions past that.
The problem is not that you do not know it. The problem is that an update can always be postponed — and your phone can still make calls, so you keep postponing.
Until one day it cannot.
What changes when you connect
I do not want you to expect magic. This is what genuinely changes:
- Work happens without your presence. Content, follow-up, research — all running while you handle other things.
- Decisions are based on your own data. Not on a feeling, and not on what someone else says works.
- Speed rises, not effort. You are not working harder. You have stopped repeating the same work.
What does NOT change
- Strategy. Deciding what needs doing is still your job.
- Pricing. Setting value and margin is still your job.
- The courage to decide. No system can decide on your behalf.
- Customer relationships. Systems organise work; they do not replace trust.
What to do this week
Pick one process you repeat every week. Not five. One.
Write down its steps — one, two, three. If you cannot, that is the first problem to solve — not technology.
Connect only that process. Run it for a month.
Measure two things: hours saved, and additional revenue generated. If those two numbers are not clear, do not connect the next thing.
FAQ
Do I need to understand technology to do this? No. You need to understand your business process. That is the real requirement, and it is what most people lack.
Why not just a course? Because a course changes what you know, not what happens inside your business on Thursday.
How long before it pays off? For marketing and content, the first week. For operations and finance, usually two to three months, because the data has to be cleaned up first.
What if I connect the wrong thing? That is why you measure first. One process, one month, two numbers. If it does not work, you stop — and you have lost a month, not a year.
Will my staff feel threatened? If you connect without explaining, yes. If you explain that they will be handling bigger things, usually not. People only fear being replaced when nobody tells them what is happening.
What is the risk if I wait? In every previous transition, the slow businesses did not disappear on day one. They disappeared slowly — and only realised when the customers had already moved.
Your system does not need to be perfect. It only needs to be newer than last year’s. And that update does not require you to relearn everything — it requires you to connect one right thing.
